Social landlords and sector managers

Inspection visits, from scheduling to dashboard

In just over a minute, follow a landlord’s inspection visits: assets organised by group, building and entrance, recurring visits created every night, a rhythm reset on the last visit, a scoring grid with no signal and a dashboard by sector. This is G-ordon, in action.

Step by step

What you have just seen

A visit scheduled just once, then scored on site and tracked at the office: five steps, with no spreadsheet to keep up to date.

  1. Prepare

    Your assets, as they are

Groups, buildings, entrances and equipment, each linked to its sector manager. Priority neighbourhoods are flagged.

  2. Schedule

    Scheduled just once

Every night, G-ordon creates the visits and assigns them to the sector manager. One routine per recurring visit.

  3. Schedule

    Always the right rhythm

The next visit follows on from the last one done. Past visits not carried out are cancelled automatically.

  4. Inspect

    A scoring grid

Offline, every item is scored. The score calculates itself, an anomaly is proven by an annotated photo.

  5. Monitor

    The visits dashboard

Done, to do, cancelled, by sector and by frequency. The most frequent problem items stand out.

What you gain

Communal areas under watch, with evidence to back it up

What the film shows in one minute, your sector managers experience on every estate.

A schedule that keeps itself

Each recurring visit is scheduled just once. G-ordon creates the visits every night, assigns them to the right sector manager, sets the next one from the last visit done and cancels past visits not carried out.

A fair score, a proven anomaly

On site, even with no signal, every item on the grid is scored, the score calculates itself and an anomaly is proven with an annotated photo.

Weak spots stand out on their own

The dashboard tracks visits done, to do or cancelled, by sector and by frequency, and highlights the items most often flagged as problems.

The same process, with your visits

The film shows cleanliness and safety visits of communal areas. For you, it might be a caretaker’s round, a green spaces visit or a post-works check. In G-ordon, a trade is a job type, a field form and a report template: they are configured from your documents, with no development.

The form follows the trade, not the other way round.

What we look at together during the demo

  1. Your assets: groups, buildings, entrances and equipment, how they are linked to sectors and how to bring them in from your files.
  2. Your frequencies: recurring visits, how they reset on the last visit, and surprise visits.
  3. Your grid: the items checked, scoring, annotated photos and the visit report.
  4. Your management: the dashboard by sector and by frequency, and Excel exports.

  2. Your assets, as they areYour assets are taken as they are: groups, buildings, entrances and equipment, each linked to its sector manager. Homes in priority neighbourhoods, the QPVs, are flagged and filtered in one click.

  3. Scheduled just onceRecurring visits are scheduled just once, at the pace you choose: monthly, every three months, or every six months. Every night, G-ordon creates the visits and assigns them to the right sector manager. And a surprise visit can be added at any time.

  4. Always the right rhythmThe next visit follows on from the last one done: one month later, no sooner, no later. And past visits that weren’t carried out are cancelled automatically, so the schedule stays up to date.

  5. A scoring gridIn the field, even without a network, the inspection follows a scoring grid: cleanliness of common areas, safety, equipment. Each item is scored, the score calculates itself, and an anomaly is proven with an annotated photo.

Frequently asked questions

How often can a recurring visit be scheduled?
As often as you choose: monthly, every three months or every six months, for example. The visit is scheduled just once; G-ordon then creates the upcoming visits every night and assigns them to the sector manager.
What happens if a visit is done late?
The next visit is set from the last visit done, not from the planned date: the rhythm stays right. Past visits that were not carried out are cancelled automatically, and the schedule stays up to date.
Can we add a surprise visit?
Yes, at any time, on top of the scheduled visits. It follows the same grid and appears in the same dashboard.
Is the scoring grid our own?
Yes. Cleanliness of communal areas, safety, equipment: the items, their scales and the score calculation are configured from your current grid, with no development. An annotated photo can be made mandatory for an item in anomaly.
Can we see this process on our own estates?
Yes, that is the whole point of the demo: we start from your sector organisation, your visit frequencies and your grid, and show you the process with your own use cases. Request a demo.
